The basics about ALMAS
What is ALMAS?
ALMAS is an AI business management platform for startups and small teams — one app, many isolated company workspaces — that combines project management, accounting, CRM, contracts, document storage, workflows and AI assistance. Teams use it to run end-to-end business operations. The full feature tour is in the User Manual.
What's a tenant?
A tenant is your isolated workspace inside ALMAS. Each tenant has its own users, settings, and data. If you work for several companies, each one is a separate tenant. Details: Switching tenants.
Can I belong to more than one tenant?
Yes. The tenant switcher in the top bar shows every tenant you're a member of. Click to switch, or use T1–T6 for the six pinned slots and T0 for your personal workspace.
Why is some menu item or button greyed out?
ALMAS hides or disables actions you don't have permission for. The tooltip on hover usually explains why — common reasons are: your role doesn't include that action, you only have read-only access to the record, or the feature requires a Premium subscription.
How do I get help when I'm stuck?
Three options: (1) browse the User Manual or this FAQ; (2) file a ticket from the Support module; (3) report a bug with N then B from anywhere — that captures the page and a context bundle automatically.
Where is my data stored?
Tenant data lives in private cloud storage isolated per tenant. Files are served only via short-lived signed links (~15 minutes). Full details: Privacy Policy.
Account & access
Sign-up, login, profile
How do I create an account?
Two ways: (1) click Register on the login page and fill in name, email and password (or use Sign in with Google); (2) click an invitation link sent by a teammate — if you're new to ALMAS, the link goes to a sign-up form pre-filled with the invited email.
I forgot my password — what now?
Click Forgot password? on the login page, enter your email, and ALMAS sends a reset link. The link expires after a short window — open it promptly.
I received an invitation email — what do I do?
Click the link. The system picks the right next step automatically: new to ALMAS → sign-up form pre-filled with your email; existing user → a one-click "Accept to join?" dialog. See Inviting people.
How do I switch tenants?
Click the tenant name in the top bar and pick from the dropdown. The whole app reloads with that tenant's data. Keyboard shortcuts T1–T6 jump to your six pinned slots, T0 is your personal workspace.
How do I change my profile, language, or theme?
Open the profile menu (your avatar, top right). My Profile lets you change name, email, password, language, avatar and tenant slot order. The dark/light theme toggle is in the same menu and is remembered per device. See Profile, language, theme, plans.
How do I enable two-factor authentication (2FA)?
Open My Profile from the avatar menu and follow the 2FA setup prompts. Scan the QR code with an authenticator app and confirm with a generated code.
Daily workflow
Projects, tasks, navigation
What are keyboard shortcuts and how do I use them?
ALMAS uses two-key sequences. Press the first key, release, then the second — no need to hold. Three families: G (go to), N (new), T (tenant). Press ? from anywhere to see the full list. See Keyboard shortcuts.
How do I create a project / task / invoice quickly?
Use the create-new shortcuts: NP project, NT task, NI invoice, NR transaction, NC company, NL lawsuit, NB bug. Each opens a modal you can fill out and save.
What's the difference between a task and a bug?
Both are tasks under the hood, but bugs have task type "bug" and trigger AI triage automatically — within ~1 minute, an AI agent posts a fix-plan note on the bug. File a regular task with NT or a bug with NB. See Reporting bugs.
Can projects have sub-projects?
Yes. When creating or editing a project, set the Parent project field. Toggle show sub-projects in the projects list to see them inline. See Projects.
Where are my notifications and how do they work?
The bell icon in the top bar shows unread count and opens a panel with the ten newest. You're notified about assignments, mentions, workflow runs, announcements, and AI bug-triage results — in real time, no refresh needed.
How do I find something across the whole app?
Use the global search in the top bar — type any project, task, company or invoice name and pick from the live results dropdown. Press S then S to focus the search box from anywhere.
Why does the breadcrumb at the top of a page sometimes change?
When you open a child item from inside a parent (e.g. clicking a task inside a project), the breadcrumb shows the path you took: Projects > Project ABC > Task XYZ. Open the same task from the global tasks list or a notification and you get the simpler Tasks > Task XYZ form. Both URLs work — click any earlier crumb to go back.
Files & sharing
Uploads, permissions, quotas
How do I upload a file?
Drag the file onto the relevant entity's Files tab (project, task, invoice, contract, company, lawsuit) — or use the upload button there. You can also browse all your tenant's files in the Files module. See Files and documents.
What's the difference between read-only, read-write, and admin access?
Read-only lets you browse and view. Read-write adds editing fields, adding notes, uploading files. Admin adds delete, member management and ACL changes. Each shared record has its own access level per user / team. See Sharing and permissions.
How do I share a project (or task, or file) with my team?
Open the record and click Share. Pick a user or a whole team, choose a level (read-only, read-write, admin) and save. Sharing a project cascades to its files, notes, tasks and child projects.
Why can't I see a project I should have access to?
Check three things: (1) you're in the correct tenant — switch via the picker; (2) you're a member of the project — ask its admin to add you via Share; (3) your role still includes the right permission. The project's admin can confirm.
What happens when I exceed my storage quota?
Uploads are blocked with the message "Storage quota exceeded for your plan". Delete files you don't need, or upgrade to a plan with more storage. Your current usage shows in Tenant settings → Storage.
How long do file download links last?
About 15 minutes. If your browser cached an expired link and shows an error, just refresh the page — ALMAS will request a fresh signed link.
AI & automation
AI Agent, file analysis, workflows
Why is the AI Agent greyed out for me?
AI Agent is a Premium feature. If your subscription doesn't include it, the menu item is disabled. Click it to see the upgrade prompt with a link to the Plans page. Tenant admins can also enable AI manually for individual tenants.
What can I ask the AI Agent?
Anything about your tenant's data — "Which projects were profitable in 2025?", "Show me overdue invoices over $5,000", "Create a follow-up task for Acme". The Agent runs as you, so it can only see and change what you can see and change. See AI Agent (chat).
How does AI File Analysis work?
Drag a file (PDF, image, scanned receipt, spreadsheet) onto the small drop target next to the global search box. AI detects the document type, suggests an action (create transaction, create invoice, update existing record) and for invoices/bills shows similar past records to avoid duplicates. Premium feature. See AI File Analysis.
What is AI bug triage?
When you file a bug, an AI agent reads your context bundle, pulls related logs, scans the relevant code, and posts a fix-plan note on the bug — usually within a minute. Developers can act on it directly. Rate limit: 5 plans per user per hour.
What can I automate with workflows?
Workflows let you respond to events (a task is created, an invoice is paid), schedules (every Monday at 9am) or manual triggers — and run actions like sending email, updating a field, creating a record or posting to a webhook. Each workflow has a Test button for dry-runs. See Workflows and automation.
Support, billing & privacy
Bugs, plans, contact
How do I report a bug?
Two ways: (1) press N then B from anywhere — opens a bug-creation modal; (2) click the Report button on any error popup — auto-fills the bug from the failure. Both attach a context bundle (page URL, recent navigation, recent API calls, console errors) automatically. See Reporting bugs.
Are my passwords visible in bug reports?
No — for HTTP headers and structured fields, ALMAS automatically redacts anything matching Authorization, Cookie, password, token, secret, key, session, auth, cvv, ssn, pin before the bundle leaves your browser. Response bodies > 8 KB are truncated. However, the title and description fields are not auto-redacted — don't paste credentials there yourself.
Can I create notes by sending an email?
Yes. Send to {tenant}+{entity}_{id}@almas.cloud (e.g. acme+project_123@almas.cloud) and ALMAS creates a note with the email body and any attachments on the matching record. Senders need to be in your tenant's allowed list — your admin sets that up. Polled every 5 minutes. See Email-to-note.
How do I upgrade my plan?
Open the Plans module from the sidebar. Compare tiers, click Upgrade on the one you want — billing is handled by Stripe. Premium features unlock as soon as the upgrade is confirmed.
How do I contact support?
Three channels depending on what you need: (1) file a Support ticket from the Support module for general help; (2) use the Report button or NB for product bugs (AI triage helps the dev team); (3) email support@foi.tech for billing or account questions.
Can I export my data?
Yes — every list page has export options, and individual records can be downloaded. For full tenant exports (GDPR right to portability) email privacy@foi.tech and we'll generate a machine-readable archive.
