17. Email-to-note

You can create notes by sending an email — useful for forwarding a customer reply onto a project or attaching a quote to a task.

The address pattern

Send to:

{tenant}+{entity_type}_{entity_id}@almas.cloud

Examples:

  • acme+project_123@almas.cloud → creates a note on Project 123 in the Acme tenant.
  • acme+task_456@almas.cloud → creates a note on Task 456 in the Acme tenant.
  • acme+invoice_789@almas.cloud → creates a note on Invoice 789.

The tenant slug is whatever your administrator set up. The entity type is the singular noun (project, task, invoice, company, contract, lawsuit).

What gets attached

  • The email body becomes the note body.
  • All attachments are uploaded to your tenant's storage and linked to the same note.

Sender control

Only emails from your tenant's allowed sender list go through. Tenant administrators set this in Tenant settings → Email (either specific addresses or whole domains, e.g. @yourcompany.com).

Polling cadence

ALMAS checks the inbox every five minutes. If your note doesn't appear immediately, give it a moment.
