16. Files and documents
ALMAS stores files securely per tenant in private cloud storage. Files don't have public URLs — they're served via short-lived signed links.
Uploading
Drag any file onto the relevant entity (project, task, invoice, contract, company, lawsuit) — or use the upload button on that entity's Files tab. You can also use the standalone Files module to browse everything in one place.
Dropping a file when there are no files yet
On project, task, lawsuit, and transaction detail pages the Files card is hidden until there's at least one file attached. When it's hidden, drag your file onto the Description card instead — it lights up with a dashed highlight as you hover. Drop it, confirm the Add File window that pops up, and the file is attached; the Files card then appears now that it has something to show. (You need edit access to the record for the drop zone to work.)
Downloading
Click a file to download. The link is signed and expires after about 15 minutes — if your browser caches an expired link, just refresh the page to request a new one.
Storage quota
Each plan includes an amount of file storage (Free 2 GB, Team 25 GB, Business 100 GB). At 95% you see a warning banner, at 100% a red banner while uploads keep working, and a little above the limit new uploads are paused with a Plan limit reached message — nothing you already uploaded is touched. Delete unused files, upgrade, or turn on pay-as-you-go on the Plans page. Your current usage is in Plans → Usage this month and Tenant settings → Storage.
Permissions and sharing
A file inherits the permissions of the entity it lives on. If you have read-only access to a project, you can download its files but not upload or delete. The user who uploads a file is its owner and can always access it.
AI File Analysis
If your plan includes AI features, dropping a file on the search-bar drop zone (top of every page) hands it to the AI for automatic classification. See AI File Analysis.
AlmasFS — mount your data as a folder
You can mount your tenant as a network drive in Windows Explorer or macOS Finder. Once mounted, every project, lawsuit, invoice, etc. appears as a folder; their files are the actual files; their notes appear as .md text files. Drag-drop a file into a project, hit Save in Word — it all just works.
See the AlmasFS Help page for platform-specific mount instructions, and My profile → Security & access → AlmasFS for generating the tokens you'll use to authenticate the mount.
