29. Profile, language, theme, plans

My Profile

Open the profile menu (your avatar, top right) and pick My profile. The column on the left groups everything that belongs to you:

  • Account — General (photo, alias, name, surname, email), Info (birthday, country, the languages you speak, phone, website, interests) and Social links.
  • Security & access — Change password, your API Keys (see API Keys) and your AlmasFS tokens (see AlmasFS). AlmasFS shows a Premium badge while your workspace's plan doesn't include it.
  • Preferences — Shortcuts: pick the workspaces that T 1–T 6 switch to. Floating buttons: hide the reminders, the ghost and the theme gear for 4 hours, 1 day or 1 week, or show them again now.
  • Progress — Achievements (your level, XP, medals) and Inventory (the items you've collected in this workspace).

Each entry has its own address, so the browser's Back button returns to the previous section and you can bookmark one (for example /profile?tab=achievements). Switching between entries changes only the right-hand panel: the page doesn't reload and stays scrolled where you were.

Changing your password

Open My profile → Change password.

  1. Type your current password.
  2. Type the new password twice. It needs at least 8 characters and must be different from the current one.
  3. Click Change password.

ALMAS then shows Password changed and signs you out on every device and browser, this one included. Log in again with the new password.

If something is wrong, the message appears under the field it is about, for example The current password is not correct. After ten tries in a minute you are asked to wait a minute.

Only you can change your password. An admin of your workspace cannot set it for you, and neither can an API key. If you signed up with Google and never had a password, leave the current password empty to set your first one.

When emails to you bounce

If the mail server at your address refuses a message from ALMAS for good — the mailbox does not exist any more, the address was mistyped, the domain is gone — ALMAS stops sending you automatic emails for one week, then tries again. Automatic emails are the ones nobody asked for at that moment: an update on a support ticket, "your export is ready", the result of a job.

You are told in two places:

  • My profile → General shows a yellow box under the E-mail field with the date the pause ends.
  • An amber envelope reminder appears bottom-right, with the other reminders.

What to do:

  • The address is wrong — correct it in the E-mail field and click Save changes. The pause ends at once.
  • The address is right and the mailbox works again — click Resume emails in the yellow box.

If neither happens and the emails bounce four weeks in a row, ALMAS stops the automatic emails until you do one of the two. Password reset emails and invitations are always sent, whatever the state of the pause, so this can never lock you out. If an email reaches you while the pause is on (a password reset, for example), ALMAS takes that as proof the address works and lifts the pause by itself.

Tenant settings

Tenant settings configure the workspace itself, so they live in the tenant menu — click the workspace name next to your avatar, then Tenant settings. Only the people who can save them see the entry (tenant admins and system administrators). The page covers the workspace logo, its contact details (email, phone, address), display settings (date format, default currency), the marketing Sending domain, and advanced settings. Old links to /profile/settings still work — they open the new page at /settings.

Language switcher

Three places to change language:

  • Profile menu → the flags at the bottom of the menu — quick switch.
  • Login page — for picking a language before signing in.

ALMAS supports three languages out of the box: English, Português (Brasil), and Español. Click a flag and the UI translates immediately. Your choice is saved locally — refresh the page or come back tomorrow and the language sticks.

If most of the UI translates but a few labels stay in English, that's expected for now: ALMAS is gradually adding translation coverage page by page. Report any English text you want translated to your administrator.

Theme

The dark / light theme lives in the theme panel — the gear button on the right edge of the screen. The choice is remembered per device. If you hid the floating buttons, the gear is hidden too: open the panel from My profile → Preferences → Floating buttons → Open theme settings.

Plans, limits and pay-as-you-go

Open Plans from the Pro! link in the top bar or from any View plans button. ALMAS has three plans, priced per company (not per person) and shown in your workspace's currency:

Free Team Business
For 1–3 people up to 15 people up to 50 people
Users 3 15 50
File storage 2 GB 25 GB 100 GB
AI usage (tokens / month) 500 thousand 5 million 20 million
AI employee hours / month — 20 100
Extras AI assistant, AI file analysis, MCP server, API keys + AI employees, AlmasFS drive same as Team
Support email, in-app AI agent + chat with a person + dedicated contact, training sessions

Every plan has all five departments and no ads. The page also shows the current prices.

When you get close to a limit. Each limit warns at 95% (amber banner under the top bar, plus an email to the workspace owner), shows a red banner at 100% while everything keeps working, and 5% above the limit pauses new activity on that limit only — a new invitation, a new upload, a new AI request or a new AI employee task — with a Plan limit reached message and a View plans button. Nothing you already saved is deleted or locked. You can dismiss a banner; it comes back if the situation gets worse.

Pay-as-you-go. Instead of upgrading, a workspace admin can turn on Pay as you go above your plan: add a card (Add a card), switch the toggle on, optionally set a Monthly spend cap, and click Save. Usage above the plan is then billed monthly at the unit prices shown on the card (per GB-month of storage, per million AI tokens, per AI employee hour, per extra user-month). When the month's overage reaches the cap, new activity pauses as above. If the card fails, pay-as-you-go switches itself off.

Usage this month at the bottom lists each limit with how much is used, how much is included, a progress bar, its state and what it costs above the plan so far.

To change plan, click Choose Team or Choose Business and enter the card in the payment window.

A plan granted by ALMAS. Sometimes ALMAS gives a workspace a plan without charging for it — for a pilot, a partnership, or because the company used ALMAS before plans existed. The top of the Plans page then says Granted by ALMAS, with the last day if the grant ends. When it ends, the workspace returns to its paid plan or to Free on its own; nothing is deleted. Some granted plans don't apply the limits at all: Usage this month still shows your usage, but no banner appears and nothing is paused.
